How to Book a Chauffeur for a Client or Executive From Connecticut

Short answer: Yes, you can book a chauffeur for a client, executive or colleague. You don't need to be in the car. Give the car service the traveler's name and mobile number, the date, pickup time and address, every stop, the flight number for an airport pickup, and how many people and bags are riding. Book as early as you can, and call for anything within the next 24 hours. At Absolute Transportation we take bookings around the clock at (203) 938-0000, and we run executive sedans, SUVs and Sprinter vans from North Haven to offices, airports and New York City.

What details do you need to book for someone else?

The more of this you send up front, the fewer calls you'll make on the day. Our services page asks for the same core details when you request a quote.

  1. Traveler name and mobile number. The chauffeur needs a direct line to the person being picked up, not only to you.
  2. Date, pickup time and pickup address. For an airport pickup, add the airline and flight number so the car can be matched to the actual arrival.
  3. Every stop and the drop-off. List meetings in order, with addresses. Say whether there is a return trip.
  4. Passenger count and luggage. One executive with a roller bag and a team with equipment need different vehicles. See our luggage guide.
  5. Your contact details as the booker. If the plan changes, the car service should know who to call and who is allowed to change the booking.
  6. Anything the traveler needs. A quiet ride so they can take calls or work, a preferred route, or a particular vehicle type. Mention it when you book rather than at the curb.

How far ahead should you book a corporate car?

Earlier is safer. Airport rides can often be booked closer in, but holidays, conference weeks and busy travel days fill first. For something inside the next 24 hours, call us at (203) 938-0000 instead of waiting on an online request. We operate 24 hours a day, every day, and same-day availability depends on which vehicles are free that day. The same applies to anyone you book: confirm the pickup time with the traveler the day before.

Can you add stops or keep the car for the day?

Yes. A day with several meetings is usually simpler as an hourly booking than as separate rides. On hourly chauffeur service, a vehicle and chauffeur stay with you for a set block of time and your chauffeur waits on site between stops. Our corporate car service page lists typical bookings: a morning ride into Midtown with a return at the end of the day, roadshows with several stops, visiting clients picked up at the airport and brought to a Connecticut office, and teams moved to off-sites. If the schedule can run over, tell the car service in advance and ask how an extension works.

Which vehicle for one executive and which for a team?

Who is riding Vehicle that usually fits
One or two executives Lincoln MKT or Aviator executive sedan or crossover (up to 4)
A small team with bags Cadillac Escalade, Ford Expedition or Chevrolet Suburban SUV (up to 6)
A large group or off-site Mercedes-Benz Sprinter or Ford Transit van (up to 13 to 14)

Passenger capacity is not luggage capacity, so send your bag count and ask us to confirm the vehicle and availability for your date. You can see the whole black fleet on our fleet page.

What should you confirm about changes, cancellations, tolls and gratuity?

Some answers belong in writing before the trip, especially when someone else is paying. Ask your car service:

  • Changes. How do you change the pickup time, address or flight? Who is allowed to request it, and how far ahead?
  • Cancellation terms. What are the terms for this service and vehicle? Please confirm them in writing.
  • Billing. What does the booking confirmation include, and how does billing work for the person paying?
  • Tolls. Are they in the quote? At Absolute, tolls are included in the quote.
  • Gratuity. At Absolute, a gratuity is applied to bookings. Our tipping guide explains what to look for on any quote.
  • Wait time and delays. How does the company handle a late flight or a meeting that runs over? We track flights, and our flight delay guide covers what to expect.

For regular corporate bookings, contact us to talk through how you'd like to set things up. Our quote comparison checklist is useful if you're weighing more than one company.

How do you check the company before sending a client?

When a guest is arriving, you can't check the car yourself. A short check up front protects you:

  • Look up the company's U.S. DOT number in the FMCSA company snapshot.
  • If the trip is in New York City, ask whether the company holds an NYC TLC license, and check it against the TLC's current licensee data.
  • Ask for the Connecticut livery permit number.

Absolute holds an NYC TLC license, U.S. DOT 1567094 and Connecticut livery permit 3117. Our licensed and insured guide walks through each lookup.

What about airport pickups for visiting clients?

For a client landing at a Connecticut or New York airport, give us the airline, flight number and the name the traveler will answer to. We serve JFK, LaGuardia, Newark, Bradley, Tweed New Haven, Westchester, Boston Logan and Stewart. Because we track flights, the pickup follows the actual arrival rather than the schedule. How the meeting point works depends on the airport, so ask us to confirm where your chauffeur will meet the traveler. If the trip is to JFK, start with our JFK airport car service page.
